CTP Booking Service
1. Terms & Conditions
The terms, conditions, and privacy policy outlined below form the Canberra Technology Park (CTP) portion of the terms of service. They do not include any third-party software terms & conditions used to operate the service i.e. Stripe (payment system) and Skedda (booking system).
1. By making a booking you acknowledge that you (the Booking Owner) have read, understood and agreed to be bound by these terms and conditions.
2. CTP reserves the right to decline a booking at its own discretion.
3. Large bookings of over 30 attendees must be booked 2 weeks in advance to avoid cancellation for CTP review.
4. All bookings may be charged 100% of the amount payable from the nominated Booking Owner payment method 2 days prior to bookings.
5. CTP has the right to approve alternative prearranged billing arrangements.
6. Booking Owner’s bookings are only confirmed once payment has been received by CTP and a confirmation receipt has been issued from the booking system.
7. Any additional charges that are not paid on the day of the booking will be taken from the Booking Owner’s payment method.
2. Cancellation & Refunds
8. Bookings may only be cancelled by the Booking Owner or CTP.
8a. Bookings made 48 hours prior to the start time of the booking can be cancelled through the booking system via the Booking Owners account.
8b. Bookings cannot be cancelled within 48 hours of the booking start time.
9. Cancelled Bookings
9a. The Booking Owner must pay the cost of any Additional Services incurred by CTP which could not be refunded (these include but are not limited to catering, cleaning, equipment hires, third party services, etc.).
9b. If the space is made unavailable by CTP the Booking Owner will be notified and provided a similar room at the same rate or a refund.
10. Booking Refunds
10a. Refunds will only be made to the Booking Owner’s original payment method.
10b. Refunds are subject to CTP approval.
11. Disputes for cancelled services or payment must be emailed to CTP Management.
3. Use of Facilities
12. The Booking Owner agrees not to conduct any illegal, unsafe and/or disruptive activities within the space.
13. The Booking Owner will keep the space is clean and acknowledges that the Additional Service cost for cleaning will be charged to the Booking Owner nominated payment method if required.
14. No animals shall be permitted or kept within CTP.
15. Any damage to the space caused by the attendees of the booking will be charged to the Booking Owner nominated card.
16. The Booking Owner is responsible for monitoring all attendees using the space and ensuring compliance with the Terms & Conditions of the CTP Booking Service.
17. Dangerous or hazardous materials are not to be used unless written permission has been obtained by CTP.
17a. Additional Service fee for fire detection isolation will be charged to the Booking Owner if required.
18. If CTP staff or third-party contractors are required to attend site after hours due to improper use of the facilities the associated Additional Service fee will be charged to the Booking Owner.
19. Security access must be obtained prior to the booking event. Security callouts resulting from wrongful entry from the Booking Owner or attendees will be on charged.
20. Noise must be kept to an acceptable level. This includes keeping the entrance door to the booked space closed and advising CTP Management if soundproof spaces are required.
21. Booking times determine the earliest entry and exit time. Any overtime maybe added to the Booking Owner payment method.
22. Furniture and/or equipment must remain in the booked room. A fee will be on-charged for damaged or removed furniture/equipment to the Booking Owner nominated card.
23. You must report any damage to CTP Management.
24. Hiring of common space areas does not guarantee privacy. Thoroughfares though the building must be maintained.
25. Booking prices may be changed at any time (including those offered at a discount). The Booking price displayed on the booking system will lock in the booking fee unless otherwise contacted by CTP.
4. Privacy Policy
Our service must comply with Australian privacy laws and regulations.
26. We will collect personal information to provide our service to you. This information will only be used to enhance your site visit, collect payments and to contact you regarding your visit.
26I. Providing any information is completely optional but required to use our service.
26II. We may ask sensitive health related questions to ensure accessibility to booked rooms.
27. Contact information we collect: email, mobile number, full name & business name
27I. Contact information is kept electronically within Skedda. If the system is unavailable or you require manual registration, we may ask you to fill out a form to collect your information.
28. Payment Information gathered: full name, ABN number, business name, email address, billing address and credit card details.
28I. Payment information is kept electronically and securely within Stripe. If the system is unavailable or you require manual registration, we may require you to fill out a form with your information which will be processed by CTP Management on your behalf.
29. We will only disclose personal information in accordance with Australian privacy laws and regulations.
29I. We may have to disclose your personal information only when required to do so by law.
5. Review
This policy will be reviewed annually.
